GEAR EXHIBITOR TERMS AND CONDITIONS
Gun Enthusiasts Adventure Recreation
These Terms and Conditions (“Terms”) govern participation by all Exhibitors in the Gun Enthusiasts Adventure Recreation (“GEAR”), presented by Gun Owners of America, Inc. (“GOA” or “Organizer”), a California corporation with its principal place of business at 8001 Forbes Place, Suite 202, Springfield, VA 22151 (“Organizer”). By reserving booth space at GEAR, each exhibitor (“Exhibitor”) agrees to be bound by the following Terms and Conditions, which are incorporated into and made part of the Exhibitor’s Booth Reservation Agreement.
1. Exhibition Details
Exhibitor agrees to participate in GEAR, scheduled to take place in Amarillo, TX at Merus Adventure Park from May 21-23, 2027
2. Booth Reservation
Exhibitor reserves booth space at GEAR as specified in its Exhibitor Agreement. Organizer agrees to allocate and maintain the reserved space for Exhibitor’s use for the duration of GEAR. A 50% nonrefundable deposit is due upon signing the Exhibitor Agreement. The remaining balance is due no later than November 1, 2026. Failure to make a payment on time may result in cancellation of the reservation.
3. Cancellation Policy
Exhibitor may cancel its reservation up to 60 days before the event and receive a refund of payments made, excluding the 50% deposit, which is nonrefundable. No refunds will be issued for cancellations made fewer than 60 days before the event; in such cases, Exhibitor remains responsible for 100% of the reservation fee.
4. Representative Attendance
a. Exhibitor agrees to have at least one representative present at its booth during all hours the exhibit floor is open during the event.
b. Representative(s) shall arrive at the booth no later than 15 minutes prior to the opening of the exhibit floor each day.
5. Compliance with Policies
Exhibitor agrees to adhere to all policies and regulations established by GOA and/or the host convention center, including but not limited to health and safety protocols, firearm deactivation policy, security measures, and any other guidelines set forth by the relevant authorities.
6. Move-in and Move-out Procedures
a. Exhibitor shall comply with all move-in and move-out procedures established by GOA and/or the convention center.
b. Exhibitor is responsible for any costs associated with move-in and move-out services, including but not limited to labor, equipment rental, and storage fees.
c. Exhibitor must be moved in no later than 12:00 PM on May 20, 2027.
d. Exhibitor must be moved out no later than 5:00 PM on May 23, 2027.
7. Parking and Damages
a. Exhibitor acknowledges that neither GOA nor the convention center is responsible for damages to parked cars, trailers, or merchandise belonging to Exhibitor.
b. Exhibitor agrees to park vehicles and trailers only in designated areas and at its own risk.
8. Compliance Enforcement
Failure to comply with the terms of the Exhibitor Agreement or the policies and regulations of GOA and/or the convention center may result in loss of Exhibitor’s ability to exhibit at or attend this or any future GOA event. Additionally, no-shows may result in the loss of future booth space allocation.
9. Indemnification
Exhibitor agrees to indemnify and hold harmless Organizer against any claims, damages, losses, or expenses arising out of or resulting from Exhibitor’s participation in GEAR.
10. Governing Law
This Agreement shall be governed by and construed in accordance with the laws of the Commonwealth of Virginia.
11. Entire Agreement
These Terms and Conditions, together with the applicable Exhibitor Agreement and any referenced policies, procedures, and regulations, constitute the entire understanding between the Parties concerning the subject matter herein and supersede all prior agreements, understandings, negotiations, and discussions, whether oral or written.
12. Modification
No modification of these Terms and Conditions shall be effective unless made in writing and signed by both Parties.
